What you will do

  • Greet clients and make them feel welcome, and answer phones.
  • Respond to clients by phone, email, and the website.
  • Schedule appointments, manage client documentation, and collect payments.
  • Coordinate groups and workshops: scheduling, sending reminders, and collecting and processing payments.
  • Screen prospective clients for fit with the practice's services and assign them to the right team member.
  • Maintain and organize shared files, documents, and administrative resources in Google Drive.
  • Manage and audit our practice management system (SimplePractice), and work with its technical support when needed.
  • Document office procedures and workflows.
  • Protect HIPAA-protected material and dispose of it properly.
  • Help with promotional material across digital platforms.
  • Support limited online research and mental health related operations.

Qualifications

  • A high school diploma is required. Some college is preferred, ideally an associate or bachelor's degree; strong related experience can substitute for college.
  • Past experience showing the organization skills to manage records, filing, billing, sensitive materials, and scheduling.
  • Basic fluency with Word, Google Sheets, PowerPoint, Adobe, Zoom, and Google Drive, and the ability to learn new software such as SimplePractice quickly.
  • Self-driven and able to work with limited supervision while working closely with the team.
  • Reliable, mature, and personable, with good written and verbal communication skills.

Please apply only if you meet these requirements. General marketing experience is a plus but not required.

For counseling students

  • We offer a mentoring program for LMFT students and anyone interested in entering the field of psychology.
  • The office is also an associate site for LPC Associates and LMFT Associates, including graduating and recently graduated students.
